We are looking for a Project Support Specialist to join our Field Service Operations team. This role provides essential administrative, logistical, and coordination support to ensure projects run smoothly from start to finish. Working closely with teams across the U.S. and Canada, this position helps drive accuracy, communication, and operational efficiency throughout the full lifecycle of each project.

The Project Support Specialist ensures that materials, schedules, quotes, workflows, and system updates are all aligned—preventing delays and helping projects move toward successful completion.
This role also directly supports SONIFI’s broader operational efficiency by maintaining key systems, ensuring inventory accuracy, enabling capitalization processes, and strengthening cross-team communication. Your work helps ensure that every project—whether a deployment, de-installation, upgrade, or service event—moves forward with clarity and precision.
What You’ll Do
• Accurately enter, update, and maintain project data within systems such as Salesforce, NetSuite, and Fieldwire
• Assist with user acceptance testing (UAT) for internal applications
• Generate contracts in Salesforce and create project numbers for newly approved work
• Support the timely closure of projects to enable capitalization workflows
• Create sales orders and requisitions as needed
• Manage Fieldwire projects, monitor Salesforce dashboards, assign tasks, and archive completed work
• Maintain CRM case and work order data for Field Operations
• Maintain the small tool and test equipment inventory database, including replenishment, assignment, and returns
• Process inventory transactions for incoming/outgoing shipments and research/resolve transaction errors
• Generate customer quotes and process replenishment orders
• Manage RMA orders through their complete lifecycle
• Perform additional data entry and updates as assigned
• Coordinate activities across Field Service, TAC/GIA, Implementations, Content, Accounting, Warehouse, Sales, and Customer Success
• Respond promptly to internal and external customer inquiries and requests
• Support onboarding and administrative processes for Field Service new hires
• Maintain detailed, organized documentation for all assigned responsibilities
• Provide recommendations for improvements to procedures, forms, processes, and policies
• Schedule, coordinate, and support iTV, FTG, and GIA de-installation processes
• Maintain positive relationships and help achieve departmental and company goals
• Adhere to all company and departmental policies and procedures
• Perform other duties and projects as assigned
What You’ll Need
• AAS degree and 3+ years of related experience, preferably in a technical or operational environment; or an equivalent combination of education and experience
• Strong technical aptitude and ability to learn new systems quickly
• Proficiency in Microsoft Office (Excel, Word, Outlook, Teams)
• Excellent communication and customer service skills
• Ability to adapt quickly, prioritize effectively, and manage shifting demands throughout the day
• Strong attention to detail, organizational skills, and sound judgment
• Ability to work both independently and collaboratively

The pay range for this position will be determined based on several factors including experience, education, and internal equity. This range is not a guarantee of any specific wage.
